About the position
To successfully perform in this role, an individual must be highly motivated; have a strong desire to learn, has excellent communication skills, is highly organized, can multitask, pay special attention to detail, and must be able to perform each duty listed below satisfactorily:
Provide Excellent Customer Service:
· To effectively convert prospective clients into customers.
· Provide excellent customer experience/service for all visitors.
· Carefully explain damage and repair estimates to customers to ensure their understanding of cost, repair time, and the overall repair process.
· As appropriate, help customers process their insurance claims and work with their insurance company to capture all necessary repairs to bring vehicle back to pre-accident conditions per OEM manufacturer specs.
· Cover for other staff members when they are out of the office.
Support the Body Shop Estimating Process:
· Greet customers who arrive for an Estimate or for their Estimate Appointments.
· Inspect damaged vehicles thoroughly using industry standards & know when a tear down is necessary before completing an estimate.
· Negotiate repairs and needed replacements with fleets, insurance, & walk-in visitors.
· Complete Tow Intake Forms & Dispatch Tow Trucks when Necessary.
· Prepare accurate, complete, and honest damage estimates using primarily CCC One, but other estimating programs as required.
· Estimate the cost or repairs and anticipated time to complete repairs using current computer programs.
Support the Repair Process:
· Obtain Repair Orders.
· Manage tear down requests.
· Schedule and Supervise needed sublet orders.
· Order necessary replacement parts per approved Repair Orders.
· Manage vendor relations.
· Manage Supplies and Material Orders.
· Ability to oversee overall shop production and productivity.
· Monitor repairs as they are made. Track all costs: labor and materials.
· Fully coordinate and communicate directives to body shop staff.
· Responsible for Part / Core Returns & ensuring that credit is received.
· Inspect completed repairs; compare final work and final costs to original estimates and supplements.
Support Final Delivery Process & Our Reputation:
· Ensure quality assurance by completing a final inspection checklist for completed repairs.
· Evaluate all supplemental repairs and costs. Ensure accuracy of repairs, that additional costs are needed and are accurate.
· Manage Production of Repairs and Ensure Promise dates are met.
· Help management, as directed, oversee: Repair and painting operations & Safety programs.
· Provide exceptional service to customers from receipt of vehicles to their return to customers. Track customer satisfaction with completed repairs.
Protect Our Reputation:
· Conduct regular safety checks.
· Gain customer trust and loyalty.
· Follow up with all Completed Repairs.
· Address, document, and correct all visitor complaints/comebacks.
· Maintain good Standing relations with Fleet Accounts, Insurance DRPs, & the public.
· Continuously to look for ways to improve all aspects of business and business relations.
· Continuously update our internal knowledge database of industry-related findings/articles.
· Ensure that ALL team members receive annual continuous improvement education.
· Protect company name and good reputation by supervising approved repair orders and ensure completion of all repairs satisfy customers, insurance, fleet accounts, and vehicle manufacturers concerns.
Qualifications
Basic Requirements:
· Must be at least 18 years of age.
· Must be able to provide three (3) references.
· Looking to be a long-term member of our team.
· Strong interest in the automotive service industry.
· Excellent verbal and written communication skills.
· Satisfactory completion of a criminal background check.
· Positive attitude, highly motivated, and a strong problem-solver.
· Proficient in Microsoft Office and able to learn estimating software quickly.
· Fluent in English - Bilingual is a plus but not required (Spanish or Vietnamese).
· During the interview, a test will be given, which includes an attempt at writing an estimate.
Licensing, Regulations, and Certification Requirements:
· Must have a valid Driver License and be eligible to work in the United States.
· Willingness to become an I-Car Certified Estimator.
· Willing to become a Texas DPS Vehicle State Inspector.
Education / Experience Requirements:
· At least a High School Diploma or (GED Equivalent).
· Willingness to learn and be trained.
· Willingness to demonstrate exceptional damage estimating skills.
· Willingness to learn how to write estimates using CCC One and in other software.
· Able to effectively communicate with technicians to create an accurate estimate for repair.
Time Management Skills:
· Able to work Monday through Friday (8:00 AM to 6:00 PM) – 45 hours/week.
· Must be at work on time each morning – very essential to the business.
Office Environment Etiquette Requirements:
· Highly Organized & Detail Oriented.
· Demonstrate planning and coordinating skills.
· Excellent Telephone Etiquette & Communication Skills.
· Ability to multi-task & work well in a busy environment.
· Demonstrate the ability to deal courteously and effectively with customers regardless of their age, race, color, sex, religion, national origin, handicap, dress, or demeanor and provide exceptional customer service.
· Comfortable with Business Casual Dress Code — attire should strike a balance between professional and practical with a business casual shirt, jeans or durable pants and comfortable non-slip close-toe footwear or safety boots.
Mathematical Skills:
· Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
· Ability to compute rate, ratio, and percentage and to draw and interpret bar graphs.
Physical Requirements:
· Must be able to lift to 20 pounds.
· Moderate noise levels in this working environment.
· Occasionally exposed to hot, cold, wet or humid conditions.
· Occasionally exposed to fumes, airborne particles, and/or caustic chemicals.
· Must be able to sit for long periods of time and must be able to walk, stand, bend, stoop, push/pull, kneel, crouch, and reach frequently.
